User settings

The user settings can be opened via the user icon in the header using the ‘Settings’ button.

Preferred language

Defines the preferred language of the application.

The ‘Automatic’ setting uses the preferred language of the browser.

Accent colour

Defines the accent colour within signoSign/Universal.

Default: #ff8400

Logo

Defines a URL for the logo of the application.

The image should have an aspect ratio of 10:3. A resolution of 300 x 90 pixels is recommended.

Favicon

Defines the favourite icon (favicon) of the application.

The image should have an aspect ratio of 1:1. A resolution of 16 x 16 pixels is recommended.

Functions in the document display

Individual functions in the document display (in the Viewer) can be configured in this area. The functions can be displayed in the header or in the submenu or are dynamically hidden depending on the display resolution.

The following options are available:

Permitted signing methods

signotec signature pad

Allows signing with a signotec signature pad.

Click to sign

Allows the document to be signed by entering the name.

This method does not capture a handwritten signature. To increase the evidential value, it is recommended to combine this method with a TAN.

Qualified signature with sign-me

Allows a qualified signature via sign-me.

If a non-permitted method is used, the user receives an error message when signing, informing them which input methods are permitted.

Description

Capture biometric data and save it in the document

Configures whether the biometric data of the signature (X, Y, Z coordinates as well as time and pressure) should be saved in the document in encrypted form. This saving serves the purpose of later verification that the signature was provided by the signatory.

Enabled: The biometric data of the signature is stored in the document in encrypted form.

Disabled: The biometric data is not stored in the document.

Biometric data is an essential component of the security and authenticity of electronic signatures and is very important for subsequent evidence. To ensure that this data is captured and stored in compliance with the GDPR, a confirmation text can be configured in the software before the signature is provided, for example.

Default: Enabled

Automatic saving

Defines whether and when the document should be saved automatically.

Disabled: The document is not saved automatically.

At the start of the signing process: The document is automatically saved when a signature capture is started.

When confirming a signature: The document is automatically saved when a signature is confirmed.

After completion of all signatures: The document is automatically saved when all signatures have been executed.

When closing the document: The document is automatically saved when the document is closed or exited.

The data is saved immediately and without user interaction. The storage cannot be undone.

Default: Disabled

Start the signing process immediately

Defines whether the signature process should be started automatically when a document is opened.

Disabled: The signature process is not started automatically.

Start with first signature: After the document is opened, the signature process for the first signature in the document is started immediately.

Start with the first mandatory signature: After the document is opened, the signature process for the first mandatory signature in the document is started immediately.

Locking form fields

Defines the extent to which existing electronic form fields (excluding signature fields) are locked with the first signature in the document. Locked form fields can no longer be changed.

All: The signature locks all form fields in the document, regardless of the settings in the document.

Filled in or defined in the document: The signature locks all form fields that are defined in the document or within the signature field. In addition, all filled form fields are locked.

As defined in the document: The signature locks all form fields that are defined in the document or within the signature field.

The definition in the document is made via special settings within the signature fields, the so-called ‘lock dictionary’. This cannot be edited using signoSign/Universal and requires a professionally created PDF form.

Signature colour

Defines the pen colour for signing.

Default: #0000ff

Signature addition

Defines whether an addition should be displayed in addition to the signature.

Content: Defines the content of the signature addition. This can contain a fixed text and/or the placeholders ‘@SIGNTIME’ with the current date and time and ‘@LOCATION’ with location data.

Date format: Defines the date format of the placeholder ‘@SIGNTIME’.

Horizontal alignment: Defines the horizontal alignment of the text within the signature field.

Vertical alignment: Defines the vertical alignment of the text within the signature field.

The use of qualified signatures is generally subject to a charge. Please contact your sales partner or the signotec sales team.

Sending method

Defines which method is used to send emails.

Server: The emails are sent via the signoSign/Universal server.

Client (mailto): Emails are sent on the client via the ‘mailto’ function and therefore via the standard email program.

This setting only affects the simple sharing of documents. Workflows are always sent from the server.

The use of text messages is generally subject to a charge. Please contact your sales partner or the signotec sales team.

Stores the activation code for the use and billing of the SMS function.

Reset settings

The ‘Reset’ button resets all settings to the current default.
