signoSign/Universal

In the “signoSign/Universal” area, default values for the use of signoSign/Universal and e-mail messages can be configured individually for each document type.

General signoSign/Universal settings

The “general signoSign/Universal settings” section contains the following options.

Description

Name of document

Defines the name of the document that is used for the upload to signoSign/Universal.

The desired file name can be entered manually. Variables and placeholders are also available via the “+” icon next to the text field.

The current file name is used by default.

Default value: %orgFileName%

Delete the source file after uploading to signoSign/Universal

Defines whether the source file should be deleted from the computer after it has been successfully uploaded to signoSign/Universal.

Activated: The source file is deleted from the computer after the upload.

Deactivated: The source file is not deleted from the computer after the upload.

This option applies to all functions where the file is uploaded to signoSign/Universal, e.g. when saving in signoSign/Universal or when sharing.

The source file is the original storage location of the opened PDF file.

When the PDF printer is used, the source file is a temporary file created by the printer in the %temp% directory.

Depending on the source system, it may not be possible to delete the source file, for example when the DATEVconnect plug-in is used, in which the file was opened from DATEV.

If the source file is not deleted, this can lead to many (possibly temporary) files being left unintentionally, which can lead to redundant data storage. It is recommended that you leave this setting activated, especially when using the PDF printer.

Default value: Activated

Close the document after uploading to signoSign/Universal

Defines whether the document should be closed in signoSign/2 after it has been successfully uploaded to signoSign/Universal.

Activated: The file is closed after the upload.

Deactivated: The file is not closed after the upload and remains open in signoSign/2.

Changes made after the upload are not saved in signoSign/Universal.

Default value: Activated

Download the audit log together with the document
VERSION 11.12.0 AND LATER

Defines whether the signoSign/Universal audit log should be downloaded together with the document.

Activated: The audit log is downloaded and opened.

Deactivated: The audit log is not downloaded.

We recommend configuring your own document type for automatic further processing of the logs.

This setting is independent from the setting “Store signoSign/Universal audit logs in the DMS” from the DATEVconnect settings.

Default value: Deactivated

Permitted authentication methods

VERSION 11.12.0 AND LATER

In the “Permitted authentication methods when sharing documents” section, you can define the permitted methods that a recipient can use to authenticate themselves before they can sign a shared document.

Use specific settings

Defines whether the global or the specific settings should be used.

Activated: Specific settings are used for this document type. At least one method must be activated.

Deactivated: The global settings are used.

Information on the individual settings is documented in the global settings.

Default value: Deactivated

Permitted signing methods

VERSION 11.12.0 AND LATER

In the “Permitted signing methods when sharing documents” section, the permitted methods that a recipient can use to sign the shared document can be defined.

Activated: Specific settings are used for this document type. At least one method must be activated.

Deactivated: The global settings are used.

Information on the individual settings is documented in the global settings.

E-mail settings for signoSign/Universal

The default values for e-mail messages can be stored in the “e-mail settings for signoSign/Universal” area.

The settings are basically identical to the normal e-mail settings for a document type, with the difference that the file cannot be attached to the e-mail.

In addition, the following placeholders can be used in the e-mail message:

%sharingCaseUrl%

This placeholder contains the URL for accessing the shared document, which is generated by signoSign/Universal when sharing and enables the recipient to access the file.

The URL should always be stored with the URL tags in the message text so that the recipient can reliably click the link:

[url]%sharingCaseUrl%[/url]

%sharingCasePw%

This placeholder contains the password for accessing the shared document.

It is recommended not to send the link and the password in the same e-mail.

%sharingCaseQr%

This placeholder generates a QR code for accessing the shared document. The QR code technically contains the same URL, but can be scanned quickly with all common smartphones and tablets.
