General settings

The following options are available in the general email settings:

Option	Description
Deactivate email sending	Deactivates email sending and therefore all email functions in the software. If email sending is deactivated, no email functions of the software can be used.
Use Outlook	Activates email sending via Microsoft Outlook. E-mails automatically open for sending in a new email in Outlook and can be sent via the configured Outlook accounts. This option is only available if Microsoft Outlook is installed on the computer. The “New Outlook“ from the Microsoft Store is not supported. If “Classic Outlook“ cannot be used, you must send emails via SMTP.
Use SMTP	Activates email sending via SMTP. When sending emails, an email dialog is displayed by signoSign/2 so that the recipient and message can be edited. After activating SMTP, further options for configuring the mail server are available in the “SMTP settings” area.

Deactivates email sending and therefore all email functions in the software.

Use SMTP

Activates email sending via SMTP.

When sending emails, an email dialog is displayed by signoSign/2 so that the recipient and message can be edited.

After activating SMTP, further options for configuring the mail server are available in the “SMTP settings” area.

SMTP settings

After activating SMTP, the following options and settings are available:


Server	IP address or domain of the email server to be used.
Port	Port of the email server to be used. Default: 25
Domain name (RFC 5321)	Configures the value for “LocalDomain” in accordance with RFC 5321. This value can be used by SMTP servers, e.g. for HELO/EHLO queries, to authorize the client. Default value: Deactivated Value: %machine%.%userDnsDomain%
Encrypted connection required	Activates an encrypted connection via SSL/TLS and STARTTLS to the email server if this is supported by the SMTP service. Default value: Deactivated
Sender (email)	E-mail address to be used for sending emails via the SMTP server.
Name (optional)	Configures the display name of the sender which is shown to the recipient.
Server requires authentication	Determines whether the SMTP server requires authentication.
Use Windows authentication	Uses the local Windows login (NTLM) for authentication on the SMTP server.
Login name and password	Configures the user name and password for authentication on the SMTP server. These settings can only be used if “Server requires authentication” is activated and “Use Windows authentication” is deactivated. Some email services do not allow login via user name and password for sending via SMTP. These include, in particular, mail accounts under Office 365 or Microsoft 365 and Gmail. Instead, an “App password” must be created in the user account for use. Depending on the provider (e.g. Gmail), it may also be necessary to activate and therefore allow additional settings for access by third-party providers or “Less secure apps” in the security settings.
Test connection	This button is used to send a test email to the configured email address.
